“Best Day Ever” Package

We will manage the vision - this package is for the couple who know what they want but need someone to manage the details of their perfect day.

 

Events by Sunshine & Sweet T promises to provide professional wedding day management services, usually beginning four to six weeks out. This is for couples who wish to plan their own wedding, this service pertains to coordinating and overseeing vendors the day of, as well as all activities the couple has scheduled ensuring that everything goes as planned, to include the following:

  • Initial consultation meeting with the couple to gather information to provide ongoing support

  • Secure the event date on calendar to avoid conflicts (extra charge for holidays)

  • All wedding day events include at least two Events by Sunshine & Sweet T team members 

  • Venue walk through with couple to discuss floor plan, vendor layout and timeline 30-days prior to event

  • Provide scope of work, timelines, basic floor plan, and itineraries, including “Day Of” checklists and reminders

  • Provide secondary timeline of events and announcements specifically for the DJ/Band/MC

  • Provide secondary timeline specifically for the Photographer with times set aside for family or special event shots

  • Confirmation/coordination of master timeline and details with vendors and oversee all wedding day deliveries

  • Provide Bride, Groom, and wedding party with information regarding etiquette and expectations for each role

  • Conduct ceremony rehearsal with wedding party (planning the Rehearsal Dinner requires an additional fee)

  • Serve as liaison on behalf of couple with all contracted vendors (incl. Photographer, Catering, DJ, etc.)

  • Assist with set up at the beginning of the day and clean up at the end - final walk through at the end of the night

  • Manage vendors for set up of ceremony and reception locations – ensure that vendor contracts include their portion of set up/tear down at event sites

  • Provide snacks for Bridal party prior to the ceremony while they prepare

  • Provide emergency kit and facilitate solutions to unexpected challenges that may arise

  • Ensure that the day progresses smoothly by moving the event along the couple's timeline

  • Distribution of the couple’s final payments or gratuities to vendors after the event, if they so choose

  • Partner with designated point person (Mother of the Bride or Maid of Honor) to gather and take the couple’s personal items and gifts from the venue​

“We Go Together" Package

Let us help you pull it all together! The team at Events by Sunshine & Sweet T will keep an eye on the details so you don’t have to. This package offers a little more to ensure that nothing is forgotten.

Services usually begin approximately six months out, includes all items from the previous package, as well as all of the following items:

  • Mid-point meeting to check progress ensuring everything on track

  • Provide couple with marriage license requirements and information to obtain in timely fashion

  • Discuss and help make decisions about table linens, flowers, menu, decorations, favors, music and activities

  • Arrange bridal shop appointments for bride and bridesmaids

  • Arrange tuxedo/suit appointments for groom and groomsmen fittings

  • Arrange makeup and hair trial appointments for bride

  • Provide vendor referrals to Photographers, Videographers, Florists, and Entertainment vendors as needed

  • Review of all vendor and venue contract details

  • Provide detailed timeline for ceremony and reception and review with vendors

  • Manage any changes to design or vision

  • Coordinate any guest list changes

  • Handle any vendor changes

  • Coordinate reception venue layout for vendor placement and activities

  • Coordinate plan B arrangement options in case of inclement weather if outdoor ceremony

  • Coordinate add-on services available

  • Review budget line items and discuss any changes

  • Coordinate additional requirements by venue for security minimums coverage depending on alcohol service

  • Coordinate monthly prepared list of deliverables and advise on any changes needed

  • Coordinate referral on accommodations and transportation vendors for out of town guests

  • Discuss and help decide on music for prelude, pre-processional, processional, recessional, and reception

“Forever and Ever” Package

We know your life is demanding and we want to ensure that the experience of planning your wedding is as stress free as possible – let us handle everything!

 

This package was created for the busy couple, we will design and plan your entire wedding according to your vision. We handle all aspects of planning and coordinating the wedding ceremony and reception. Tasks will range from budgeting and scheduling, to sourcing and negotiating with vendors, such as setting up the couple's consultations for catering, wedding cake tasting or photography/videography services, as well as being available day of throughout the entire event assisting with any last minute details that may arise. Services usually begin eight to twelve+ months from your wedding date and includes all items from the previous two packages, and:

  • Preparation and ongoing analysis of overall budget

  • Provide monthly project management status reports on timeline progression, vendors, and budget

  • Expense tracking and timely notifications

  • Locate and review expectations with Officiant; discuss perquisites with couple, if needed

  • Discuss and determine the materials/supplies/props/rental needs to support the vision of the event

  • Discuss and help make decisions about sourcing reputable vendors and sending/compiling requests for quotes

  • Arrange vendor meetings for cake and food tastings or apparel alterations

  • Arrange and attend vendor meetings for negotiating contracts and services

  • Prepare detailed questions for each vendor type in order to ensure that all relevant items are covered by contract

  • Assist with menu and beverage service decision, planning and waitstaff requirements

  • Assist with save the date and/or invitations decision, planning, completion, and handle mailing

  • Discuss and arrange block hotel pricing for accommodations of out of town guests

  • Provide detailed floor plan and separate set-up/breakdown timeline for each vendor

  • Discuss and manage guest seating based upon couple's input - create table plan and manage seating chart 

  • Discuss and source vendor to execute personalized design and lighting plan, if requested

  • Arrange vendor service for childcare during reception, if requested

  • Referral to travel agent to handle honeymoon itinerary and accommodations

  • Decorate honeymoon suite (local area only and some destination locations)

  • 45-day venue walk through with Couple to review details and discuss any last-minute changes

  • 30-day meeting with vendors to discuss expectations, review their contract details, and staffing needs

  • Distribute final timeline, emergency 'who to contact' list and itinerary to all vendors

  • Prepare and manage personalized Rehearsal Dinner timeline and assistance with set up/breakdown at event

  • Arrange transportation for the Couple to/from ceremony and reception

  • Design wedding day transportation schedule for wedding party and also out of town guests to and from hotel

  • Handle unforeseen issues and advise accordingly

Officiant Services Package

Your Officiant has the distinct privilege of performing and sharing in the special joy of your ceremony. That said, your ceremony should be a direct reflection of your relationship and your values as a couple. Each ceremony is personal and special and should be treated that way. Your Officiant will work with you to create a custom ceremony as unique as the love you share.

What’s included?

  • Prior to the ceremony, your Officiant will meet with you to discuss your ceremony vision, answer all your questions and go over details of what to expect

  • Secure the event date on calendar to avoid conflicts (extra charge for holidays)

  • Offer assistance with choosing your location, if needed - all ceremonies are performed at the couple's location of choice

  • Your Story customized relationship questionnaire

  • Ongoing support in person, by email, text, or phone call through ceremony day

  • Offer options to include unique and special touches such as Vows, Readings and Blessings – choose from our templates or create your own

  • Officiant ‘Day Of’ Ceremony Checklist to help guide you through what to expect at the ceremony

  • Ceremony content review with your Photographer and Videographer prior to ceremony to ensure they get their best shots

  • Attending rehearsal, if requested, the day or two before ceremony day (mileage rate below if outside local area)

  • Travel to your Ceremony Location (travel outside of 50-mile radius for additional fee – destination travel abroad must include coverage for travel, accommodations and expenses)

  • Perform your personalized ceremony

  • Legalization of your Marriage License by your Officiant

  • File the Marriage License with Proper Court

 

Our ordained Officiant can perform civil or religious ceremonies, either in intimate or large guest count settings, at destination weddings, or elopements.
